The Seaside Institute is hiring for the following positions:

Primary Purpose:  This position is responsible for coordinating most events and programs at a not-for-profit organization, arranging accommodations, services and meals (as needed).  The Operations Manager position operates in a fast paced environment.  It requires intermediate or better PC skills, including Excel and Word.  Must be able to cope with change and operate under pressure to meet critical deadlines.

  • Reports to Executive Director.
  • Executes work under direction or established procedures 20% of the time.
  • Works independently setting priorities and personal work schedule 80% of the time.
  • Does not supervise others.

Essential Duties:

  • Coordinating events and programs both on and off-site, including lodging, meeting room accommodations, and meals when appropriate.
  • Overseeing all aspects of accommodations offered at limited onsite housing.
  • Working with select vendors (e.g., for marketing materials, housekeeping, maintenance).


  • College degree preferred.
  • 2-3 years previous office experience in a related field.
  • Flexible schedule to accommodate occasional weekends and evenings.
  • Good communication skills (written and verbal).
  • Must demonstrate aptitude in Excel, Word and PC skills.
  • Familiarity with social media and marketing materials (brochures, posters, Eventbrite, etc.).
  • Demonstrated aptitude for negotiating, leadership skills.
  • Ability to work independently as well as within a team environment.
  • Professional and adaptable demeanor when working with internal and external partners.
  • Planning/time management.
  • Budget skills, basic accounting.
  • Multi-tasking.

The appropriate candidate must be a college graduate; some postgraduate education is preferred. Experience in leading or contributing significantly to a non- profit organization including fund-raising, board management and communications and event planning is preferred. A clear understanding of New Urbanism and its current and future challenges is essential. A person with familiarity of the 30A/South Walton area is essential; residency in the area is ideal.

The Executive Director (ED) should be a flexible, highly organized and detail oriented individual with thorough follow-up skills. He/she should be a self starter who is motivated and able to work independently with limited day-today oversight. The qualified candidate needs to be able to multitask and be proactive with high energy levels. He/she should have excellent interpersonal, verbal and written communication skills with a winning attitude. A high degree of professionalism and diplomacy is required as well as a clear understanding of the reporting structure of the Seaside Institute. The ability to work efficiently with MS Windows, Word, Excel, Outlook and PowerPoint is a necessity, and Microsoft Publisher or equivalent is a requirement. The successful candidate needs to be a team player and work in a cohesive environment.

Working with the board and Seaside Institute staff, the ED will provide overall management and coordinate various events and activities of the Institute reporting to the Chair of the Board of Governors according to the bylaws of the Seaside Institute. This will include moving forward aggressively on the following items:

Provide oversight on budgeting/financial planning and bookkeeping, corporate filing, board meeting management, office and Academic Village management.

The ED will provide overall coordination of this annual event and will be asked to work with a Board Member or other individual chosen by the Board. This event will include the following:
• A weekend long symposium that qualifies for design professional continuing education credits.
• The Seaside Prize ceremony, which includes and introduction of the recipient and remarks by the recipient.
• A memorable dinner after the Prize event.

Maintenance of the website and Facebook page is ED responsibility, as is email communication through Mailchimp and/or other dissemination programs. ED is also in charge creating posters for programs and writing and/or commissioning articles for the Seaside Times and other news outlets.

Increase membership and generate new income for the Institute. This will include coordination, with the Board, of efforts aimed at fundraising activities including, but not limited to, contact with philanthropists, either directly or indirectly, application for appropriate program grants, and coordination of various other fundraising events and programs.

Convene the best/cutting-edge thinking/thinkers in the field of new urbanism, and disseminate that knowledge to furthering the state of the art. Similarly, develop other programs in community building, including arts and other activities. This will be accomplished in the form of at least one major event, aside from the Seaside Prize events, annually.

Overall coordination of one to two tours per year, or as decided by the Board. Target annual income is $40,000. These tours will be distinguished by their educational objectives as well as the travel experiences offered.

Overall coordination of a lecture series/special events exploring the needs and challenges of Aging Place by building collaborative partnerships for realization of these goals (e.g., AARP, other NU communities in the region, etc.) Coordination of program development for the solution of traffic problems along Scenic County Road 30A, including grant applications for programs and workshops to various funding agencies and working closely with state and county representatives for helping to solve these local problems.

The ED will have the oversight responsibility of running the Academic Village activities, including the rental units that are used in conjunction with programs. Whether this will be directly “hands on”, or as Seaside Institute “point person” dealing with an outside agency, this is the ED’s oversight responsibility.
